Job Description

We are seeking an enthusiastic, self-motivated and experienced Administrative Assistant/PA to join our team and play a pivotal role in supporting our Operations & HR Manager and front desk operations. The successful candidate will assist and support the HR & Operations Manager and will be responsible for a broad range of duties and responsibilities across many aspects in administrative support. Key to this role will be strong administration skills, organisation skills, time management and effective communication skills.

The ideal candidate would have a high work ethic, be team-oriented and hands-on in a varied role.

Responsibilities:

  • Provide proactive administrative support to the Operations/HR Manager.
  • General reception duties – answering the phone, taking accurate messages and relay in a timely manner to colleagues
  • Responsible for general HR administration tasks – ensuring accurate and up-to-date employee records, policy and procedures and employee performance review documentation
  • Collaborating with our payroll department to ensure that all starters, leavers, movers, and weekly payroll amendments are processed accurately and in a timely manner.
  • Assist in providing advice & support on HR employee relations issues & queries
  • Assist in hiring, interviewing, and onboarding processes, ensuring best practices are followed.
  • Looking after all stationary and office supply orders for the office, keeping stocks up to date and dealing with various service providers.
  • Handle general administrative tasks and projects

Skills and Experience sought:

  • Have 2+ years experience in a similar role.
  • HR Administration experience is advantageous
  • Proficient in Advanced MS Office including Word, MS Outlook, Excel, and PowerPoint
  • Must be a team player with a proactive attitude, takes initiative and has ability to work without supervision
  • Have excellent verbal and written communication skills
  • Have the ability to work cooperatively with others
  • Ability to work independently and show initiative
  • Ability to maintain confidentiality of information
  • Ability to handle multiple tasks and competing priorities, often with tight deadlines.
