Position Overview:

We are seeking a highly organized and efficient Administrative Assistant to join our team. The role primarily involves managing enquiries, coordinating with contractors, and overseeing administrative tasks related to invoicing and accounting software management. The ideal candidate will thrive in a fast-paced environment, possess excellent computer literacy skills, and demonstrate strong communication abilities.

Key Responsibilities:

  • Handle enquiries received through the website, including responding to emails and making outbound calls to clients.

  • Organize and maintain client information in the CRM system, ensuring accuracy and timeliness of data entry.

  • Liaise with contractors to assign enquiries and coordinate project assignments according to availability and expertise.

  • Manage invoicing and accounting software, including processing payments, tracking expenses, and generating financial reports.

  • Ensure timely and accurate communication with clients and contractors regarding project status updates and scheduling.

  • Assist with general administrative tasks, such as filing, documentation, and office organization, as needed.


  • Previous experience in an administrative role, preferably in a high-tempo environment.

  • Strong computer literacy skills, with proficiency in Microsoft Office and CRM software.

  • Excellent communication skills, both written and verbal, with a professional telephone manner.

  • Ability to work independently and make decisions confidently, demonstrating a proactive and solution-oriented approach.

  • Strong organisational skills and attention to detail, with the ability to prioritize tasks and manage multiple deadlines effectively.

  • Commitment to achieving results and a proactive approach to problem-solving.

Preferred Qualifications:

  • A qualification in Business Administration or related field.

  • Familiarity with accounting software and invoicing systems.

  • Knowledge of CRM systems and experience managing client databases.
