Job Description

Position Title:

Part-Time Experienced Administration Clerk

Job Summary:

We are seeking a dedicated and experienced Administration Clerk to join our team on a part-time basis. The successful candidate will assist with accounting tasks, general office duties, and the maintenance of our Quality Management System (QMS). The ideal candidate will have a strong background in administrative roles, a keen eye for detail, and excellent organizational skills.

Key Responsibilities:

  1. Accounting Assistance:

    • Assist with accounts payable and receivable.
    • Prepare and process invoices, expense reports, and other financial documents.
    • Reconcile bank statements.
    • Support month-end and year-end financial processes.
  2. General Office Duties:

    • Assist Dispatch with transport and logistics arrangements.
    • Manage incoming and outgoing correspondence, including emails, mail, and phone calls.
    • Maintain and update office filing systems, both electronic and paper.
    • Order and manage office supplies and inventory.
    • Coordinate and schedule meetings, appointments, and travel arrangements.
    • Provide general administrative support to various departments as needed.
  3. Quality Management System (QMS) Support:

    • Assist in the documentation, implementation, and maintenance of the QMS.
    • Prepare and update quality documentation, including procedures, manuals, and records.
    • Support internal and external audits, including preparation and follow-up on audit findings.
    • Coordinate and document training sessions related to quality management.
    • Monitor and report on quality metrics and performance indicators.


  • Proven experience in an administrative role, preferably with accounting and QMS responsibilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and accounting software.
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Good communication skills, both written and verbal.
  • Ability to work independently and as part of a team.
  • Familiarity with ISO 9001 and 14001.
  • Qualifications in office administration or accounting are desirable.

Working Hours:

  • Part-time position, 9am - 1pm Mon-Fri.
  • Expected to work 20 hours per week.
