Role Overview:

As the Administrative Coordinator, you will be the backbone of our office, ensuring that all administrative functions are running efficiently. You will be responsible for overseeing the day-to-day operations, coordinating communication between staff and clients, and helping to develop and implement policies to improve office productivity and overall efficiency.

In addition to supporting the administrative functions, you will also play a role in analysing and improving office processes, developing solutions to challenges, and ensuring the office environment is well-maintained and secure. Key Responsibilities:

  • Serve as the main point of contact between employees and customers, ensuring smooth communication across all levels.
  • Handle incoming phone calls, emails, and other forms of communication in a professional and courteous manner.
  • Oversee office supplies purchasing and inventory management to ensure the office remains stocked and efficient.
  • Supervise office staff to ensure maximum productivity and smooth operations.
  • Analyse and improve office processes, policies, and workflows, implementing creative solutions to enhance efficiency.
  • Ensure the office is organized, secure, and well-maintained at all times.
  • Coordinate appointments, meetings, and manage job schedules for the team.
  • Develop, implement, and maintain office policies, with a strong focus on Health & Safety practices.
  • Assist with marketing activities as needed to promote the company and its services.

Ideal Candidate:

  • Proven experience in an administrative support role, ideally within a fast-paced environment.
  • Strong interpersonal and communication skills, both written and verbal.
  • Proficiency with office technology, including computers, printers, and office software (e.g., Microsoft Office Suite, Google Workspace).
  • Ability to solve problems creatively and effectively.
  • Strong time-management skills with the ability to prioritize tasks and manage multiple responsibilities.
  • Basic mathematical and financial understanding for managing office budgets and expenses.
  • Knowledge of Health & Safety regulations and best practices in the workplace.
  • Professional appearance with a courteous and approachable manner.
