Office & Compliance Administrator

Job Description

Strikebox is seeking a highly organised and reliable Office & Compliance Administrator to support the day-to-day running of the office while maintaining key compliance, quality, and governance systems. This role combines office management, administrative and accounting support with responsibility for supporting ISO-certified management systems and legislative compliance relevant to the business.

The successful candidate will act as a central point of coordination for office operations, documentation control, and compliance support, ensuring efficient administration and adherence to regulatory and quality requirements.

Key Responsibilities

Office Management & Administration

  • Oversee the smooth day-to-day operation of the office environment.
  • Manage and further develop our ERP system and expand and optimise the existing digital capabilities across the business.
  • Manage and further develop the CRM system.
  • Coordinate meetings, appointments, and travel arrangements.
  • Support Dispatch with transport and logistics coordination.
  • Provide administrative support across departments as required.
  • Provide accounting & financial administration support where required.

Compliance, Quality & IMS Support

  • Support the maintenance and ongoing improvement of the Integrated Management System (IMS) in line with ISO 9001, ISO 14001, and ISO 45001.
  • Maintain controlled documentation including procedures, manuals, registers, and records.
  • Assist with internal and external audits, including preparation, evidence collation, and follow-up actions.
  • Track corrective and preventive actions (CAPA) and support their closure.
  • Coordinate and record training related to quality, health & safety, and environmental requirements.
  • Monitor compliance with applicable Irish and EU legislation relevant to the business.

Governance & Data Protection Support

  • Support compliance with GDPR and data protection requirements, including record-keeping and documentation.
  • Assist with policy development and updates related to governance, compliance, and operational controls.
  • Support basic risk assessments and compliance reporting where required.

Qualifications & Experience

  • Proven experience in an administrative or office coordination role.
  • Experience supporting accounting processes is desirable.
  • Exposure to ISO management systems (ISO 9001 and ISO 14001 essential with ISO 45001 desirable).
  • Strong proficiency in Microsoft Office (Word, Excel, Outlook).
  • Experience with document control, audits, or compliance support is an advantage.
  • Excellent organisational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to work independently and manage multiple priorities.
