Job Description

AllPro Recruitment is recruiting on behalf of a well-established community childcare service in Kilcormac, Co. Offaly, for an experienced and highly organised Operations Administrator.

This is an excellent opportunity for an experienced administrator or operations professional to take responsibility for the coordination of key operational, HR, compliance, finance and administrative activities within a busy childcare service.

The successful candidate will work closely with the Assistant Manager and report to the Management Committee, helping to ensure the smooth, efficient and compliant running of the service.

Key Responsibilities

  • Coordinate day-to-day operational priorities and projects
  • Prepare and manage weekly staff rosters and coordinate annual leave and staff cover
  • Support workforce planning and recruitment activities
  • Coordinate interviews, onboarding and recruitment records
  • Maintain accurate employee, HR and compliance records
  • Coordinate Garda Vetting, qualifications and mandatory training
  • Support staff induction and HR administration
  • Ensure readiness for Tusla, Pobal and other regulatory inspections
  • Coordinate policy reviews, compliance records and follow-up actions
  • Support financial administration, budget monitoring and funding applications
  • Monitor Hive and National Childcare Scheme (NCS) submissions
  • Coordinate quality improvement initiatives, audits and action plans
  • Liaise with colleges, training providers, funding bodies and external agencies
  • Prepare operational reports and updates for the Management Committee
  • Identify operational issues and escalate risks where appropriate

Requirements

  • Recognised third-level qualification in Business, Administration, HR, Management, Early Childhood Education or a relevant discipline
  • Minimum 3 years' experience in administration, operations, office management or a coordination role
  • Excellent organisational and project coordination skills
  • Strong administrative and Microsoft Office skills
  • Experience managing multiple priorities and deadlines
  • Experience with staff rosters and operational coordination
  • Knowledge of HR administration and recruitment processes
  • Excellent written and verbal communication skills
  • Strong attention to detail and problem-solving skills
  • Ability to work independently and as part of a wider management team

Desirable

  • Experience in childcare, education, community or not-for-profit settings
  • Knowledge of Tusla, Pobal and NCS requirements
  • Experience using Hive or similar funding systems
  • Experience supporting inspections, audits or compliance processes
  • Knowledge of employment legislation and HR best practice
  • Experience reporting to a Board or Management Committee
